Система управления задачами из 7 элементов и 4 шагов внедрения системы

0:00Hello everyone . In this video , I will

0:02share with you my planning and task

0:04management system , which allows me to

0:06manage a million-follower Instagram

0:08blog , run an online project with

0:10thousands of clients , manage this

0:12YouTube channel , train four times a

0:14week , study , be a young father , and not

0:16lose my mind . This system has seven

0:19elements and four implementation steps ,

0:21and we will cover them all . It will

0:23take you 2-3 days to fully implement

0:25this system , but it is worth it . It

0:27might look a bit complicated , but it

0:29actually simplifies life incredibly .

0:32This system has given me great control

0:34over my life , a sense of order in my

0:36head and affairs , freed up energy for

0:38work , and an understanding of what I

0:41need to do every day to get closer to

0:43my long-term goals . By the way , I

0:45didn't invent this system ; it was

0:46created by American expert David Allen .

0:48This system has become very popular ,

0:50and even billionaires use it . And I can

0:52say for myself that it is the best

0:54system out of all that I have tried . I

0:56love planning and time management , and

0:58I’ve been practicing it for the last

1:008 years . When I lived in a hostel and

1:03had 25,000 rubles . in my pocket , I

1:05planned my day and tasks ; now that my

1:07project's revenue has been consistently

1:09over 200 million rubles . per year for

1:11several years , there are even more

1:13tasks , even more chaos , and I do this

1:16even more . And what I will tell you in

1:18this video is the best thing I have

1:20learned about planning in 8 years of

Главная проблема: нехватка времени и фокуса

1:22practice . So , let's start with the main

1:25problem . Most people cannot achieve

1:28their goals not because they are stupid

1:30or untalented or born in the wrong

1:32country , in the wrong environment , and

1:34not even because they don't try hard

1:37enough or work enough . Most people

1:40cannot achieve their goals because they

1:42lack the time and focus for it . Just

1:45imagine a budding entrepreneur , Galya .

1:48Galya has two children . In the morning ,

1:50she makes them breakfast and then

1:52drives one to school . Then Galya cleans

1:54the house and starts working . In her

1:56clothing company , Galya is the designer

1:59, manufacturer , marketer , logistician ,

2:01accountant , and sales manager all

2:03rolled into one . Often everything is on

2:06fire for her , and she often works at

2:07night because her child pulls at her

2:09during the day . Her husband also

2:11requires her attention . And her mom

2:12calls to invite her over in the evening

2:14. And tomorrow is a friend's birthday .

2:16And she also has to help her child with

2:18homework . And the bank blocked her

2:20account under the anti-money laundering

2:21law , and she needs to provide documents

2:23urgently . In the worst case , Galya just

2:25burns out and gives it all up . At best ,

2:27it just develops slowly because its

2:30efficiency is very low due to a lack of

2:32focus . She simply doesn't have enough

2:34time or energy . And the main thing you

Принцип сфокусированной энергии VS распыление

2:36need to know about planning and time

2:38management in general , I will explain

2:40using these two objects . Your energy

2:43can be gathered and focused . Then you

2:45have a powerful burst .

2:47I hope I don't get kicked off the

2:49podcast . And there are water jets

2:51powerful enough to cut through steel .

2:54On the other hand , your energy can be

2:56directed at many different unrelated

2:58tasks . Then the result of your activity

3:01is just a puff of air that can't really

3:03influence anything . The most valuable

3:06advice for Galya is to stop spreading

3:08herself thin and focus her energy on

3:10one thing . Specifically , Galya needs to

3:12pull all her energy back from

3:14distracting tasks , cancel some ,

3:16simplify others , delegate some , and

3:18then direct all that energy in a single

3:20stream toward something important . If

3:23Galya doesn't do this , she could work

3:25for 7-10 years , give it her all ,

3:27exhaust herself , and realize at the end

3:30that she hasn't accomplished anything

3:32big or important . And if you feel like

3:35you are a bit of a Galya , this system

3:37is for you . This video consists of

3:39three parts . First , I will introduce

3:41you to the elements of the system . Next

3:43, I will tell you the four steps to

3:45implement it . And finally , I will share

3:48the three most important tips that will

3:50allow you to organize your life

3:51effectively . So , let's start with the

Семь элементов системы планирования

3:53elements of the system . There are seven

3:55of them in total . The first element is

3:57a folder called " All Tasks . " Everything

4:00you have to do goes in there .

4:01Everything that comes to mind needs to

4:03be dumped into this folder . The second

4:05element is a folder called " Someday . "

4:07Tasks that don't necessarily need to be

4:09done right now go into it . If you can

4:12skip a task this week without anything

4:15burning down , it goes into this folder .

4:18The third element of the system is the

4:19calendar . Tasks tied to a specific date

4:22and time go here . The fourth element of

4:25the system is the archive . Information

4:27that is valuable to you , that you don't

4:29want to lose , but don't need to act on ,

4:31goes here . The fifth element of the

4:34system is the delegation list . All

4:36tasks you have delegated go here , and

4:39you list them to ensure they are done

4:41correctly . The sixth element of the

4:44system is projects . All tasks that take

4:47more than two steps to complete go here

4:49. For example , the task of taking out

4:51the trash is a single-step task . You

4:53just take the trash and throw it out .

4:54But the task of losing 10 kg is a

4:56multi-step task . First , you need to

4:58figure out how to do it , research some

5:00information , then sign up for a gym , go

5:02there regularly , and start eating a

5:04certain way . Basically , the goal of

5:06losing weight is actually hiding

5:07another 30 tasks behind it . And in

5:09essence , losing weight is not a task ,

5:11but a project . A collection of tasks is

5:12called a project . And you will place

5:14all the projects in your life into the

5:17sixth element of our system , a separate

5:19folder called Projects . And the seventh

5:21element is the Today folder . These are

5:23the fastest , most urgent tasks that you

5:25can start working on right now . When

5:29you sit down today and are ready to

5:31work , you open this folder and take out

5:33the tasks you need to get done . So ,

5:35that makes seven elements . All tasks ,

5:38some kind of calendar , storage ,

5:40projects , errand list , and tasks for

5:42today . Now let’s get started with the

1 ШАГ внедрения: сбор всех задач

5:44implementation . We will have four steps

5:46. Collecting tasks , sorting , execution ,

5:49and review . And we start with the first

5:51step . Collecting tasks . We need to

5:54gather absolutely all ideas and tasks .

5:57That you are thinking about . I

5:59recommend setting aside at least one

6:01hour for this . And if you are an active

6:03business person , you should come up

6:05with more than 100 , or ideally more

6:07than 200 tasks . You might , by the way ,

6:09think that you don't have that many

6:11tasks , but you do . So , we just take a

6:13note on our phone , open it , and start

6:15writing everything down . What

6:17categories ? Work tasks : reply to a

6:19client , prepare a project , submit a

6:21report , finish a website , shoot a video

6:24. In general , everything related to

6:27your work , any tasks , we write them

6:29down . Also , any ideas related to your

6:34work . For example , you want to start

6:36growing a YouTube channel or your

6:37Instagram , or want to partner with

6:39someone , but it's not your task right

6:41now , meaning you don't necessarily have

6:43to do it tomorrow , but the idea is

6:45there , you write that down too . Or you

6:48would like to take training in your

6:49field , or learn something , or you would

6:51like to meet someone , or you would like

6:53to improve a process , or you want to

6:54delegate something . In short , we write

6:57down all work-related tasks and ideas .

7:00Next , all tasks related to household

7:01and personal life . Clean the balcony ,

7:04get a new sofa , wash the windows , order

7:07food , tidy up the house , buy some

7:10things you need , supplies , items , maybe

7:13clothes you need , you need to buy them ,

7:16change a lightbulb , pay the mortgage .

7:20In short , all household tasks . Next ,

7:22everything related to your health . Book

7:25a dentist appointment , sign up for the

7:27gym , start eating healthy , start

7:29running , start working out , get blood

7:31work done , get a checkup , buy a new

7:33toothbrush , buy some vitamins , pills ,

7:35supplements , buy something else .

7:37Basically , everything related to your

7:39health , both mandatory tasks that

7:41definitely need to be done and just

7:43ideas that have been on your mind for a

7:45long time . You think it's time to do it

7:47, time to go to the dentist , or time to

7:49finally start working out . Maybe you

7:51want to play soccer , maybe you want to

7:53buy yourself some workout clothes ,

7:55maybe take up yoga , maybe buy a yoga

7:57course and then start practicing .

7:59Everything related to health , we write

8:01it down here . Ideally , you should

8:03already have 20-30 items here just for

8:05health . In general , in every niche ,

8:07there should be 15 , 20-30 work items .

8:09Ideally , there should be 40 . Next is

8:11friends and relationships . Maybe you

8:14want to organize something , play

8:16Monopoly with friends , go somewhere ,

8:19plan a trip , give your girlfriend

8:21flowers or do it regularly every week ,

8:23or plan 10 great dates , or , in

8:25principle , start a relationship . To do

8:28that , go on a date at least a couple of

8:29times a week . Or you already have a

8:32child and need to take them to

8:34kindergarten , buy them diapers , buy

8:36toys , sign them up for swimming , hire a

8:38nanny , or fire a nanny . Next , maybe you

8:41want to see your parents more often .

8:43Maybe you want to give your parents a

8:45gift , or you need to help your parents

8:46in some way , and they have been asking

8:48you to do something for a long time

8:49that you haven't done yet , but it needs

8:51to be done . In short , all tasks related

8:53to your inner circle . The next category

8:56is your obligations . Some unpleasant

8:59things , but things you need to do . For

9:02example , a client sent edits and I

9:04don't really want to do them , but in

9:06principle , I have to , because I owe it

9:08to them . Or , say , Mom has been asking

9:10to move the wardrobe to the dacha for a

9:12long time because it's in the way . Or

9:14you borrowed money from someone and

9:15haven't paid it back , or you haven't

9:17replied to someone's offer . Basically ,

9:19everything you owe other people . The

9:22next category is your goals and desires

9:24. Maybe you want to buy a car , maybe

9:27you want to lose weight , maybe you want

9:30to fly to Bali or the USA , or attend

9:33the World Cup , or swim with whales , or

9:35go skydiving , or learn to play guitar ,

9:38or take acting classes , or learn

9:40archery , go to a Formula 1 race , go

9:43shopping with a stylist , whiten your

9:45teeth , get a boob job , grow your hair

9:48— I don't know . In short , any ideas

9:51you want : material things , experiences ,

9:54travel , basically everything you

9:56evaluate as " yes , I would like to have

9:59this in my life . " The next category is

10:02correspondence . You take your Telegram ,

10:05go to the New or unread tab , scroll to

10:08the very bottom , as far as it will

10:10possibly scroll . Maybe you have 1,000

10:13unread messages , and your task is to

10:15read them all . There . Yes , even the

10:17ones people wrote to you 3 years ago .

10:19If it's not relevant to you now , delete

10:21it . If there is some relevant proposal

10:24or question there , or maybe some client

10:26wrote to you but you lost them , add

10:27that to your general task list too . Do

10:31the same with WhatsApp , do the same

10:33with your contacts , scroll through them

10:35, look through them and think if you

10:36have any tasks connected to anyone from

10:38that list . And finally , look at the

10:42information you have been consuming

10:44lately . Maybe some YouTube videos

10:46you've watched . And in connection with

10:49these videos , do you need to do any

10:50tasks , or are you going through some

10:52training and need to do something

10:53because of it ? Or you would like to

10:55purchase it or would like to

10:57participate in it . Or , for example , you

11:00just found an idea on the internet , for

11:02instance , the idea for a video you want

11:04to film , or just an idea to do

11:05something you would like to do and

11:07repeat . In general , look at your watch

11:10history from recent times and analyze

11:12it to see if there is anything you need

11:14to do there . All of this together will

11:16take you about an hour . And in order to

Как качественно выписать весь список задач

11:18do this well , I recommend that you set

11:20aside separate time , don't get

11:22distracted by anything , just sit down

11:24in front of a note and , for a solid

11:26hour on a timer , focus only on writing

11:28down everything that comes to mind

11:30regarding your tasks . You need to write

11:32down , well , basically everything that

11:34is in your head . All desires and goals ,

11:36everything you owe someone , all work

11:38tasks , absolutely everything . If you

11:41have a thought that you need to do

11:43something and it’s not in your notes ,

11:45it means you need to write it down . You

11:48need to reach a point where you try to

11:50remember what you need to do throughout

11:52the day , and not a single thought comes

11:55to mind that isn’t already in your

11:57notes . You must completely empty your

12:00head , because holding all these tasks

12:02in your mind consumes a huge amount of

12:05your internal energy . And when you

12:07write down these notes , you will feel a

12:09great sense of relief and a release of

12:11that energy , because you no longer need

12:14to keep this large array of ideas ,

12:15commitments , tasks , and data in your

12:17head . So , once again , how do we do this

12:19? Set aside a whole hour with your

12:22total focus on filling out these notes .

12:26Then , throughout the rest of the day

12:28and the next , keep walking around ,

12:30thinking , and whenever you remember a

12:32task , add it to your notes . By the end ,

12:35you should have at least 100 items .

12:37Ideally , 200 , 300 , or 400 items . When I

12:40did this for the first time , I ended up

12:42with over 200 items . And honestly , I

12:44realized then that there was still

12:45plenty more I could have added . After

2 ШАГ: сортировка задач

12:49you do that , we move on to the next

12:52most interesting part : sorting these

12:55tasks . Because some tasks need to be

12:58done immediately , some later , some

13:00don’t need to be done at all , and

13:03some aren’t even tasks , but entire

13:05projects made of dozens of other tasks

13:07that can't be done just like that . And

13:10this system is amazing at accounting

13:12for all of that and sorting it out . So ,

13:15what do we do ? You have this note with

13:18every single task you have . Next , we

13:22take each task from the list and run it

13:24through the following process . First ,

13:28we look at the task and ask ourselves :

13:30" Do I need to do something with this or

13:33not ? " For example , there’s a great

13:36video on YouTube ; I just liked it , so I

13:38saved it . Maybe it’ll be useful to me

13:40later . But I’m not sure if I need to

13:42do anything with it or not . Or , say , an

13:45employee sent me access to a site on

13:48Tilda . Like , what should I do with that

13:50? Do I need this information ? Yes , but

13:53will I do anything with it ? No. And

13:55everything that is just information ,

13:57and you don’t intend to do anything

13:59with it , you move to a separate storage

14:02folder . I have a storage area in the

14:06Notion app where I keep notes , videos ,

14:09ideas , and drafts . Basically , it's a

14:13collection of all my intellectual work

14:15and any interesting information I’ve

14:18ever found . I can also dump some ideas

14:21in there . If the task is just

14:23information and nothing needs to be

14:25done with it , you move it to storage .

14:28Next , if you look at a task and say yes

14:31, something needs to be done , you ask

14:34yourself a second question : is it

14:36urgent or not ? Or can it wait ? Let’s

14:39say the task is to learn English . Will

14:42I get beaten up this week if I don't

14:44learn it ? Do I have to fly to London

14:46tomorrow or not ? Or can I learn it over

14:48the next few years ? If I’m not under

14:51pressure this week and it’s not

14:53mandatory , the task goes into the "

14:55sometime " folder . These are tasks you

14:58will do , but not right now . For example

15:01, starting to run , learning English ,

15:03watching a training course , or reading

15:05a book . It’s not urgent right now .

15:08It’s not the most pressing task . And

15:09the key question is , in principle , I

15:11don't have to do this this week .

15:13Nothing terrible will happen , right ? If

15:15nothing happens , then it goes into the

15:17" sometime " folder . Don’t worry ,

15:18you’ll pull tasks from there later

15:20and get them done . But let’s move on .

15:23If the task needs to be done and it is

15:26urgent , you have to ask yourself : do I

15:29need to do it , or can someone else ? For

15:33instance , do I need to help my parents

15:35move a closet at the cottage , or is it

15:38easier to hire a mover ? Or should I

15:40write the report , or better yet , ask a

15:42colleague who has more information and

15:44can write it more easily ? And besides ,

15:47in essence , it’s his task . Why did he

15:48dump it on me ? Let him do it himself .

15:51Or going to print out this map and

15:52sticking it on the wall . Should I do

15:55that , or ask my assistant ? Obviously ,

15:57I’ll ask my assistant . I don’t want

15:58to deal with that task . In short ,

16:00anything that you can , at least in

16:02theory , not do yourself , don't do . Move

16:05it to your delegation list . These are

16:08tasks you’ve assigned to someone and

16:10logged in that list to track when

16:12they’ll do it and to remind them .

16:15Alright , fair enough . Let's keep going .

16:18If you have a task you need to deal

16:20with , it must be done urgently this

16:22week , and only you can do it , the next

16:25question is : is this task a single step

16:28or does it require multiple steps ? The

16:31thing is , many tasks are actually

16:34projects rather than tasks . For example

16:38, the task of making a YouTube video is

16:40not a single task at all . It’s at

16:43least 10 tasks . You need to come up

16:45with an idea for the video . You need to

16:48write a script for it . You need to draw

16:50this map . You need to print it , find a

16:53studio , film it , edit it , create a

16:55thumbnail , write a description , and

16:56upload it . That is a collection of

16:59tasks . A collection of tasks is called

17:02a project . And many of your tasks are

17:05not really tasks , but projects that

17:08need to be broken down into

17:10intermediate steps . Therefore , if your

17:14task isn't something you can just do in

17:17one go , like buying water , but requires

17:19many steps , it's a project and you

17:22should move it to a separate " projects "

17:24category . Next , you need to do three

17:28things with each project . You need to

17:30define the end result , like in the

17:32YouTube video example . The end result

17:35is a finished video published on my

17:37YouTube channel . That is the final goal

17:40of the project called " Make a YouTube

17:42video . " Second , you need to break it

17:44down into steps . Well , I already

17:45mentioned what the steps for creating a

17:47video might look like . And third , you

17:49need to identify the first step . The

17:52first step could be , for example ,

17:53sitting down for 30 minutes to choose a

17:55video idea , writing the first minute of

17:57the video , or outlining the structure

17:59of the video — what topics you want to

18:01cover . Ultimately , for each project , we

18:04must have a defined end result . That is

18:07, when we consider this project

18:08complete . Second , we must break this

18:11project into steps , and we must

18:13identify the first step to get the

18:15project started . That is the first step

18:19. And once you complete it , you will

18:21need to identify the next step to keep

18:23the project moving forward . So , if your

18:26task isn't done in one step , it goes

18:28into projects , and then you only take

18:30the first step from that project to

18:32proceed further . All right . If this

18:36task can indeed be done in one step ,

18:38meaning I can just pick it up and do it

18:40, the next question is : can I do it

18:42right now ? For example , let's say the

18:44task is to make a dentist appointment .

18:46Can I do that right now ? Well , yes , I

18:47generally can . I can call , say " Hello , "

18:49choose a date , and book an appointment .

18:52Yes , or making lunch . I can do that .

18:54Yeah , I can go and cook . But there are

18:56tasks I can't do . For example , the task

18:58of grading my students ' final theses

19:00for my course . That is a single-action

19:03task . You just have to sit down and

19:05grade them . But it can take four or

19:07five hours . And right now , I cannot

19:08take on that task . So , if I can do it

19:11now , I go and do it . If I cannot do it ,

19:15I ask myself the next question : does

19:18this task have a specific date and time

19:20? For example , I want to go to a

19:23workout . I work out on Monday ,

19:25Wednesday , and Friday . It's a simple

19:27one-step task — going to workout ,

19:29training — but it has a specific date

19:31and time . Monday , Wednesday , Friday , at

19:349:00 AM I train . So , all tasks that

19:38have a specific date and time are

19:41usually meetings , workouts , trips ,

19:43filming videos , or dates . All of that

19:47goes into the calendar . Meaning , if you

19:49have tasks for a specific time , you

19:51just write them down for that specific

19:53time . Next , if a task doesn't have a

19:56specific time and it can be done , but

19:58you don't want to do it right now , yet

20:00it can and should be done , then you

20:03just write it down for today . " Today "

20:06is a list of operational tasks ; you sit

20:09down to work , open it , and choose which

20:11tasks you'll do , then perform the tasks

20:14from that list . So , these are the tasks

20:17that are closest to you . And when you

20:19have the energy , you do them . In

Результат сортировки: кристальная ясность

20:21summary , you have your list that

20:23contains 200 tasks . Then , for each task

20:25, you ask yourself : " Do I need to do

20:26something with this ? " If not , just send

20:29that information to a storage archive .

20:31If you do need to do it , you ask

20:33yourself : " Is this urgent , like , needed

20:35this very week ? " If not this week , send

20:38it to a " someday " list . If it is indeed

20:42for this week , you ask : " Does this need

20:44to be done by me or someone else ? Maybe

20:47I can hand this task over or delegate

20:49it ? " If it can be done by someone else ,

20:52you assign it to the person who can do

20:54it and make a note that you delegated

20:56such-and-such task with a deadline .

20:59Next , if you have to do it yourself ,

21:01you ask : is this a one-step task or a

21:03multi-step one ? If it has many steps ,

21:06then it's not a task , it's a project .

21:09You put it in a separate note or a

21:11folder called " Projects , " write down

21:13the final result , break it into steps ,

21:15and define the first step . And that

21:19first step becomes a separate task .

21:21Then you ask yourself : " Can I do this

21:23right now ? " If yes , you do it . If no ,

21:26ask yourself : is there a specific time

21:29when I need to do this ? If yes , put it

21:31in the calendar , and when the time

21:33comes , do it . If no , just put it in the

21:36list of urgent tasks called " today , "

21:37and then do it later . And you need to

21:41completely empty this folder . That is ,

21:45you must ensure that there are no tasks

21:48left in the folder , also known as the "

21:50inbox , " so that every task is assigned

21:52to one of these categories . And when

21:55you do this , you achieve crystal

21:58clarity because you no longer have a

22:00mess of different tasks . You have

22:03concrete information structured in a

22:05separate folder that you don't need to

22:07touch right now . You have ideas for the

22:09future that you aren't working on yet ,

22:12but they are written down . And you

22:14don't have to keep them in your head .

22:16But when the time comes , you will work

22:18on them . You have an errand list . Again

22:21, you don't have to keep track of who

22:23you asked to do what ; you just have

22:25everything written down regarding who

22:27you're waiting on and by when . Next ,

22:30you have your projects . And those

22:33abstract , ephemeral tasks like " start

22:36filming Reels , " which almost never get

22:39done , turn into a specific list of

22:41actions with a clear first step . For

22:45example , choose three ideas for Reels

22:47that I will film . A clear , concrete

22:50step appears , and the project comes to

22:52life because it becomes clear where to

22:54start . Actually , projects are a major

22:58key to success because many people fail

23:00to achieve results by formulating tasks

23:02too broadly . Like , " I need to get in

23:05shape " or " I need to grow my blog . " In

23:08reality , that's not a task ; it's a

23:10bunch of different tasks . And when you

23:12realize that it's actually a project ,

23:15and any project starts with a simple ,

23:18actionable first step like signing up

23:20for the gym , scheduling a first shoot

23:23with a friend , or choosing ideas , it

23:26stops being just an idea and becomes a

23:28feasible plan , and you start doing it .

23:31Furthermore , all the tasks assigned to

23:33a specific time are in your calendar .

23:35And all the tasks that just need to be

23:37done soon are in your " today " list . How

Как организовать задачи на практике

23:40can you organize this in practice ? The

23:42first simple option is to do it right

23:43in your notes . You name a folder , for

23:46example , " Planning , " and create all

23:48these elements within it . That will be

23:50the first one . Then the second will be

23:53our storage , right ? So , an errand list ,

24:00projects , calendar . By the way , it's

24:03better to just use a calendar and a "

24:05today " view . And basically , you just

24:08fill them in and move items between

24:10these folders . There is actually an

24:12even more convenient , free , and simple

24:14way . On iPhones , there’s an app

24:17called Reminders . It’s almost as if

24:19it were made specifically for this . You

24:21also create different folders here . For

24:23example , all tasks , a " someday " list , a

24:25delegated list , commitments , and

24:27projects like education , finance , Reels

24:29, YouTube , health and fitness , and

24:31launch formula . There’s also a " Today

24:33" folder here . And you will have

24:35everything beautifully and conveniently

24:37in one place . And right on the first

24:39screen of my iPhone , I have this whole

24:41system — specifically an open calendar

24:42that says I’m filming for YouTube

24:44today . And these are my reminders with

24:47tasks , where I need to post stories ,

24:49approve a script , check Reels , and

24:51prepare a video on planning for today .

24:53Yes , I prepared it yesterday , I just

24:54forgot to check it off . So , in general ,

24:56I’m filming all of this today . There .

24:58And it works very simply and enjoyably .

3 ШАГ: выполнение задач по системе

25:00Step three : execution . You need to

25:02start completing these tasks . Let’s

25:05go over again , in practice , what

25:06exactly will you be doing ? You will

25:09perform the first steps or the next

25:11steps in each project . The task that is

25:14needed right now to move my project

25:16forward . We call any collection of

25:18tasks a project . You might have 30

25:20projects . Do you understand ? Next , you

25:22execute what’s in the calendar when

25:24the time comes , and you simply complete

25:27tasks from " today " in a format that’s

25:29convenient for you . You just take your

25:32task lists and empty them out . I

25:35recommend that you spend the first week

25:36thoroughly clearing out that list .

25:39Meaning , book that dentist appointment ,

25:41go do that cleaning — all those hanging

25:43tasks that annoy you and drain your

25:46energy , so that your task map is left

25:48with only the most important items to

25:50focus your attention on . And for the

4 ШАГ: ежедневная и еженедельная ревизия

25:53fourth step , you need to conduct a

25:55review . Every day you mark off tasks

25:57for today and set tasks for tomorrow .

26:00And once a week , you do a major review

26:02of the entire map , perhaps writing down

26:05any new tasks that have appeared .

26:07Sometimes you look here into " someday "

26:09and your storage folder . Maybe at some

26:11point , you’ll realize : " Oh , I finally

26:13have the time and energy to get

26:15six-pack abs . " And this task now moves

26:18from " someday " into a project . And now

26:20we start working on it . Update your

26:22calendar data , update your tasks , and

26:24conduct a review once a week . All in

Итог: что вам нужно сделать

26:26all , you need to go through four steps .

26:28Step one . Gather all tasks , where you

26:32collect 200-300 tasks , ideas ,

26:35commitments , work items , and chores

26:38into one folder . The second step is

26:41sorting . You take each task through

26:43this list of questions and sort it into

26:45the appropriate folder . The third step

26:47is execution . You start doing those

26:49tasks that actually make it to the "

26:51to-do " green checkmark . And the fourth ,

26:54every day you do a 10 - minute

26:56mini-review of these tasks . And every

26:59week you conduct a full review for

27:0130-40 minutes of all these tasks . And

3 важных совета по организации жизни

27:04that's it . And finally , as promised ,

27:08I'll share three important tips for

27:09organizing your life . First tip : either

27:12you plan , or you follow someone else's

27:14plan . If you don't know what you're

27:17doing tomorrow morning or the day after

27:19, or what goals you're working toward ,

27:21others will find tasks for you , keep

27:23you busy with errands , requests for

27:25help , or other assignments , pulling you

27:27into their ideas , and in the end ,

27:29you'll spend your energy and life

27:31realizing their goals . Second tip : you

27:34don't need to do everything . You need

27:36to do what's necessary . In general , I

27:38distinguish between the concepts of

27:39productivity and effectiveness .

27:40Productivity is how many tasks you can

27:43do in a unit of time . And effectiveness

27:45is the effect that it has . You can be

27:48very productive but completely

27:50ineffective . You can do 50 different

27:53things in a day and not get a single

27:55step closer to your main goal . And

27:58increasing your effectiveness doesn't

28:00mean running around all day like a

28:01headless chicken , trying to do as much

28:03as possible as fast as you can , saving

28:05time by eating quicker . I'm against

28:08that kind of time management because

28:10being super busy is the easiest and

28:12most legal way to hide from the things

28:14that really matter . No , increasing

28:18effectiveness is always about finding

28:20the one or two key tasks you need to

28:22focus on right now , the one or two key

28:25tasks that drive growth the most , and

28:27devoting the bulk of your strength and

28:29time to them . For example , I haven't

28:33done anything useful today except

28:35record two YouTube videos . But I'm

28:37incredibly proud and happy because for

28:40me , that is one of my key tasks . And

28:43the third tip is to account for your

28:45productivity peaks . There is scientific

28:48research and data showing that the

28:50average person works effectively for 3

28:52to 6 hours a day . For me , that figure

28:55is around 3-4 hours . In one day , I can

28:58manage about 3 or 4 hours of productive

29:02work . What do I consider productive

29:04work ? It's any work where I actively

29:07need to use my brain . For example ,

29:10writing a video script , developing a

29:12product launch strategy , making

29:13important decisions , or creating a

29:15content plan . Things that require

29:18brains , where you really have to think .

29:20I have a limit of 3-4 hours a day . And

29:23that’s only if I start on it right in

29:24the morning . Later in the day , I can

29:28check email , hop on calls , have

29:30meetings , record something , or pay

29:33bills and handle other tasks that don't

29:36require my full brain power . The hours

29:41when your brain is productive and can

29:42actually create something are literally

29:44just three or four , or five if you're a

29:46talented genius . The advice is to guard

29:49those 3-5 hours and know when your peak

29:52activity is . For instance , I can only

29:55do deep work in the morning . By the

29:57evening , I just can't do smart work . So

29:59, for example , if I need to write a

30:01video script from scratch , I’ll wake

30:03up and make it the first task of the

30:05day . And I know people whose peak

30:08happens at night . But you must know

30:11when your peak occurs . And use those

30:133-4 peak hours to solve the really

30:15complex and important tasks in your

30:17life . And you know what else I'll say ?

30:19A person who works 3 hours a day ,

30:21super-focused during their peak

30:24productivity on a key complex task ,

30:26using their whole brain , will grow

30:29faster than someone working 12 hours a

30:31day while unfocused . And they will

30:35create more valuable results than

30:36someone who works unfocused . So , the

30:39third piece of advice : realize that you

30:41actually only have 3-4 hours of focus

30:42per day . And use them wisely . And
